Privacy policy
How Subud Publications International collects and uses personal information, and what rights you have over it.

Who we are
Subud Publications International (“SPI”, “we”) is a charity registered in England and Wales, charity number 270159, company number 1210435, at 47 Waverley Road, St. Albans, Hertfordshire, AL3 5PH, United Kingdom. We are the data controller for the information described here.
We are based in the United Kingdom and this notice is written under UK data protection law — the UK GDPR and the Data Protection Act 2018. We sell and ship internationally, but the law that governs how we handle your information is the law of the United Kingdom.
What we collect, and why
When you buy a publication
Your name, billing and delivery address, email address and telephone number if you give one, together with details of what you ordered. We need this to take your order, send it to you and keep proper accounts. The lawful basis is performance of a contract with you, and our legal obligation to keep financial records.
We never see or store your card details. Payments are processed by Stripe, who handle the card data directly. We receive only a confirmation and a transaction reference.
When you ask for a members account
Your name and email address, your local Subud group or centre, your national Subud organisation, roughly how long you have been a member, and — only if you choose to give them — your date of opening and the name and contact details of a helper or committee member who can confirm your membership.
We use this solely to confirm that an applicant is a Subud member before opening an account, because part of our catalogue is published for the membership rather than for general sale. The lawful basis is our legitimate interest in restricting that material appropriately, and your consent for the optional fields.
If you give us someone else’s details as a person who can confirm your membership, we will contact them only for that purpose, and only if we need to. Please make sure they are content for you to pass their details on — the form asks you to confirm this.
When you write to us
The name, email address and message you send through our contact form, so that we can reply. The lawful basis is our legitimate interest in answering enquiries.
When you visit the site
Our server records the usual technical information — your IP address, browser type and the pages you requested — in its logs, which are kept for a short period for security and troubleshooting. If you leave a review, we record the name, email address and IP address submitted with it.
We use cookies that are necessary for the site to work: to remember what is in your basket, to keep you signed in, and to protect our forms from automated abuse. We do not use advertising or tracking cookies, and we do not profile visitors.
Who we share it with
We do not sell personal information, and we do not share it for marketing.
We use a small number of service providers who process information on our behalf, under contract and only on our instructions: a payment processor, an email provider, our website host, a provider of the security check on our forms, and — where a book is printed to order — the printer, who receives the delivery name and address so that it can be posted to you. Books are shipped in plain packaging.
Some of these providers are based outside the United Kingdom, including in the United States. Where information is transferred abroad it is protected by the safeguards UK data protection law requires, such as the UK addendum to the standard contractual clauses or an adequacy decision.
We may also disclose information where the law requires it.
How long we keep it
Order and payment records are kept for seven years, as charity and tax rules require. Member account details are kept while the account is open, and removed within a reasonable period after it is closed. Enquiries are kept for up to two years. Server logs are kept for a short period only.
Your rights
Under UK data protection law you have the right to ask us for a copy of the information we hold about you; to have it corrected; to have it deleted; to restrict or object to how we use it; and, where it applies, to receive it in a portable form. Where we rely on your consent, you may withdraw it at any time.
To exercise any of these, please contact us. We will respond within one month.
If you are unhappy with how we have handled your information you may complain to the Information Commissioner’s Office, the UK supervisory authority, at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
